The Position

The Enrolment CRM Specialist is a critical front-line role responsible for the precise implementation and maintenance of the CRM system, Slate. This full-time position ensures the operational integrity and efficient execution of all Slate-based activities, directly supporting recruitment, admissions, and communication efforts. The CRM Specialist is instrumental in building and maintaining the technical infrastructure within Slate that enables the Admissions Office to connect effectively with prospective students.

Responsibilities

CRM System Management & Optimization (60%)

  • Accurately build, update, and maintain all forms, communications, portals, and automated workflows within Slate.
    • Complete annual cycle updates for applications, rules, forms, reports, and portals to ensure continuous functionality. This includes both applications and processes for admission, as well as the application and process for Financial Aid which are both housed in Slate.
  • Ensure the accuracy and consistency of prospect and lead data within Slate.
    • Perform regular data reconciliation tasks, troubleshooting data inconsistencies and errors, and ensuring appropriate activities and interactions are associated with prospect records.
  • Execute automated data imports, exports, and batch processes between Slate and external platforms to facilitate timely and accurate data transfers. Ensure data sources are properly imported and integrated into Slate.
  • Provide direct technical support and troubleshooting for Slate users including prospective students/applicants, staff users in the Admissions & Financial Aid department, and other campus users, addressing immediate operational needs and issues.
  • Implement and adhere to institutional policies and data security standards in all Slate activities, including executing data retention and archiving protocols in line with departmental policies.
  • Serves as a Slate Captain, keeping up-to-date with system changes and best practices in Slate. Assists with system testing, upgrades, and the implementation of new features or modules.

Operational Support (30%)

  • Oversee the work of the Applications Coordinator
    • Assigning tasks related to data reconciliation, including overseeing the resolution of error logs in integrations between Slate and other systems
    • Troubleshooting any processing or data-entry related issues in Slate
  • Set up and execute communication flows within Slate, particularly those tied to forms and events. Ensure recipient lists for digital and print campaigns sent from Slate are precise and aligned with provided criteria.
  • Build, update, and run all forms, communications, and follow-up surveys for Campus Visit Events within Slate.
  • Update and maintain Financial Aid forms, portals, and email communications.

User Training & Documentation (10%)

  • Assist in developing and maintaining operational documentation for technical functions carried out by Admissions & Financial Aid staff
  • Deliver pre-developed Slate training sessions, guides, and documentation for internal users to ensure effective system utilization.
  • Provide guidance and training to admissions operations student employees as needed, supporting their day-to-day processing tasks related to the application process.
Preferred Skills and Attributes
  • Experience with Slate CRM highly preferred
  • CRM administration or related experience, preferably in higher education a plus
  • Strong understanding of CRM best practices and data management
  • Excellent problem-solving and project management skills
  • Ability to explain technical concepts to non-technical users effectively
  • Highly self-motivated, organized and demonstrate responsibility in your work
  • Previous management experience as a plus
Education, Training & Certifications
  • A relevant Baccalaureate degree (e.g. English, Business Marketing, Media and Communications, etc.)
Other Requirements
  • Understanding of Redeemer University (mission, values, and Reformed Christian identity)
